Make sure your facilitator with the Pro version of Zoom has the latest release. There are two areas where you need to enable Zoom captions - the Zoom account administration and also within the meeting. The area to look at within the account administration is "Meeting Advanced." Carolyn Odio has a post on captioning within Zoom including step by step video and corresponding documents, Zoom has incorporated Captions. Go to the beginning of the thread to find her contribution. I regret somehow having given you this impression. I am an ardent user of Microsoft applications and used to be proficient in their use, although my skills have atrophied significantly. I have used free open-source software, like Linux and Libre Office,
and maybe I spoke well about them since they are free, but I have discontinued their use primarily because the cost of Microsoft Office is not excessive and has superior functionality plus there are differences that can be problematic.

Wayne, Any of the paid versions of Zoom now feature free captioning. Make sure you or your facilitator have downloaded the latest Zoom update. When you turn on Live Transcribe the captions should appear across the BOTTOM of the screen (white lettering against black background), and is very readable. You can click the arrow next to "CC" on the bottom of the screen and adjust captioning settings (e..g., you can increase the size of the lettering). The large white rectangular box you may be referring to (on the right side of the screen) is if you have clicked "show transcription" and you will see a scrolling record of the transcription; plus you can also save that transcription. Folks, I am using the free basic account for Zoom but have a facilitator that has the premium version. We have tried the captions. I am frustrated by what I see and maybe I and the premium holder are missing something. For my captions what I see is a large white rectangular box. Inside that box is a light dark rectangular box and inside that are the letters (captions) in black. It is very hard to read. Solutions? I see nothing in Zoom help. Thanks! Wayne Giese Morganton, NC

Ann has us enrolled in Mailchimp. Mailchimp is free up to a certain usage level. You can get Microsoft 365 for Nonprofits through Techsoup - see the plan below. It includes the full-featured Outlook for desktop use. Your chapter receives ten free licenses so all officers can be on the same platform.

Hi All,
Our chapter used to use GoDaddy web services for our email. Then GoDaddy decided to get out of that business and transferred us to Outlook on the Web. This version of Outlook is extremely basic (who wants distribution lists with names in the list sorted by first name?!) Our website is through HLAA-CA so we don’t have that to worry about, I don’t think. We can keep our domain (hearinglosspen.org) from GoDaddy. We could either pay for a more robust version of Outlook (via TechSoup) or look at another email platform. Any suggestions? Warnings? Future considerations? Someday it might be nice to use MailChimp or something like that... I’m curious what other chapters are using for their email... Thanks, Jaynie Kind HLAA Peninsula Chapter

New Zoom Features in Update 5.4.7 and more

Everyone goes through software updates, and I guess that most of us do not bother reviewing those boring release notes. After a few surprises with Zoom, I have concluded that I should do this - at least with Zoom. The current Windows and macOS release 5.4.7 (December 21, 2020) is a manual download. There are a couple of changes that affect most of our meetings. The Raise Hand feature has been moved to Reaction in the menu bar. Hosts and co-hosts can now utilize this feature. We had issues when the host or co-host had something to contribute in a meeting and had to either talk over someone or wave their hand wildly to get noticed. Something that we discovered as people were trying to access our meeting this morning was a dialog box asking registrants to log into the meeting using the email address they used for registration and password. This is part of Zoom's latest security method. I think it affects only those meetings that have been scheduled as recurring and maybe in advance. Everyone should check their current meeting settings - if not now, then when you update. This setting is in your Zoom Account, where you set up your meetings. Unless your settings allow you to uncheck "Require authentication to join: Sign in to Zoom," the only way we found to work around this is to create a new meeting. If you have already sent/publish invitations - well, we leave that up to you on how you will handle that issue. Previous updates included a feature in the Host's meeting Security features that allows suspending all participant activities. A few chapters had their meetings interrupted by intruders. This feature allows for the suspension of the meeting until you can remove the unwanted participants. Additional information: Since you are reading this, you probably have your chapter members using old versions (possibly with security issues) of Zoom. You may be asked, "How do I update Zoom?" This is simple on mobile devices (iOs and Android). Go to the App or Play store and pretend you are going to install Zoom. Instead of seeing an installation button, you will find an Update button. Zoom update 5.4.7 changed the location of the raise hand feature. It moved from the Participants icon to the Reactions icon. Host and co-host can also now raise hand.

Recording Zoom Videos
Thank you, George and Alan! Very helpful. Looks like recording to the computer is the way to go. Alan, my video was 90 minutes and it only took a few hours for the YouTube captions to show up (not a week!). The YouTube captions are excellent, so I have never tried to edit captions. Many thanks for your info.

Wonderful to have all this information..thanks so much. I have a LOT to learn. I edit the video in YouTube Studio as you can cut out parts (not add parts) to it. I use the MAC iMovie application to add any parts. For many videos, I add punctuation to the YouTube captions. I like saving the recording to my computer, loading them to YouTube (Unlisted, using a link) and then deleting them from my computer. But I need to digest all your suggestions above.
